Hiring: Paralegal / Legal Administrative Assistant

Hoban Law Group has an immediate need for an ambitious, paralegal who can support our attorneys with client management, litigation, regulatory compliance, corporate, intellectual property, and administrative matters as needed.  This position will work directly with our attorneys on various matters.  The ideal candidate for this position is a motivated, confident self-starter with the drive to excel and learn.  They are also quick to think and move, a problem-solver, well organized, detail-oriented, professional, responsible, and committed to the quality of the firm and the experience of the clients. Duties and Responsibilities:

  • Manage client relationship and client interfacing
  • Proactively own the client experience from beginning to end
  • Ensure new and prospective clients are processed quickly and efficiently
  • Hold attorneys accountable for Firm responsibilities and timelines
  • Assist attorneys in general law practice, including document preparation, copy-editing and review, filings, scheduling, file maintenance, and service of process
  • Assist attorneys with managing accounts receivable
  • Prepare, edit, review, and organize legal records and documents and communications, corporate documents and filings, contracts, leases, licenses, applications, appeals, real estate closing documents and other documents as requested
  • Provide expert paralegal and administrative support in multiple practice areas (litigation, corporate, regulatory compliance, intellectual property, ) with minimal supervision
  • Prepare pleadings, discovery requests, filings, and related documents; assist with collection and production of relevant documents
  • Maintain electronic databases and files, including uploading case documents and correspondence, scanning documents, and organizing electronic files
  • Maintain case and matter deadlines in the docketing calendar
  • Research and summarize laws, regulations, cases, documents, and files; present a synopsis to the attorney for use in preparation for trial or responding to a legal issue or question
  • Communicate with clients, counsel, staff, and court personnel regarding matters
  • Ensure timely responses to legal notices and subpoenas
  • Prepare and file organizational documents, intellectual property filings, annual reports, EINs, SEC filings and UCC financing statements, among others, in a variety of states with attorney oversight and guidance
  • Assist with the preparation and submission of license applications and renewals to the state regulatory agencies and other regulatory agencies; manage related compliance matters and deadlines
  • Recognize and communicate other areas the Firm can assist the client
  • Work closely and collaboratively with other legal and administrative staff
  • Perform other duties as requested by the attorneys and staff

Job Requirements:

  • Bachelor’s Degree in Business Administration or related field preferred; Paralegal Certificate from ABA-accredited program preferred but not required
  • At least some experience in a corporate or law firm environment
  • Knowledge of legal processes and procedures, including the Colorado procedural rules and filing procedures
  • Outstanding writing and copy-editing skills
  • Confidence to completely own their area and speak to what is best for the firm and client
  • Exceptional organizational, time management, communication, and interpersonal skills; high attention to detail, the ability to work independently, and capable of multitasking
  • Experience in record keeping and management, docketing, and electronic filings systems
  • Ability to handle many active matters and meet strict deadlines
  • Ability to work flexible hours/a flexible schedule to accommodate projects as needed
  • Proficiency in Microsoft Office Suite, Google Suite, Adobe Acrobat, electronic signature software, practice management software, and related software programs
  • Ability to maintain a paperless file system (scanning and organizing documents, etc.)
  • Ability to uphold the highest standards of discretion and confidentiality and exercise good judgment on day-to-day decisions.

  • Preferred to have some knowledge of the cannabis industry
