Position Summary

  • The role of the Compliance Manager is to make sure Nirvana Center Dispensaries is in full compliance

with all state and national laws and regulations that pertain to the Marijuana industry, as well as
professional stands, accepted business practices, and internal standards.
Position Responsibilities

  • Ensure all Facility Agents are linked to applicable locations. Check on status of current cards needing renewal and cards in process (quarterly). Complete resubmittals in a timely manner (24-48 hours).
  • Conduct routine (weekly) inspections of dispensary locations within the state of Arizona to ensure that

compliance procedures are followed.

o Identify compliance issues that require follow-up or investigation. Provide coaching and training
to employees needing further assistance. Provide employee training on compliance related
topics, policies and procedures.

o Discuss emerging compliance issues with management or employees, immediately after each
inspection. Advise management on the implementation or operation of new compliance
standards or programs.

o Prepare summary reports of findings to be sent out by the end of the week to each location’s
internal management team and senior management.

  • Monitor and implement company compliance policies and standards of procedures. Complete and file

appropriate compliance reports with regulatory agencies. (ex. Renewals, Audit Responses, etc.)

  • Verify that software technology and equipment is in place to adequately provide over site and

monitoring of all required areas. Evaluate the efficiency of controls and improve them continuously.

  • Maintain documentation of compliance activities, such as required reports, ATO documents per location,

etc.

  • Serve as a confidential point of contact for employees to communicate with management, seek

clarification on issues, or report irregularities. Keep information confidential between locations. Treat all
locations the same.

  • Correct employee violations of patient verification with the state system.
  • Collaborate with human resources departments to monitor enforcement of standards and regulations.
  • Communicate with senior management on a daily basis with compliance issues or updates.

Skills Required

  • Excellent communication skills. Fair and Modest: Willing to review all the facts without making a snap

judgment and interview any relevant employees for their perspective.

  • In-depth knowledge of the industry’s standards and regulations, and willing to keep learning: Most

industries that employ a compliance officer are subject to constantly changing legislation, so staying on
top of things is vital.

  • Professionalism Ethical and principled. Critical-thinker and problem solver.
  • Time-Management and diligent with outstanding planning abilities. Understanding of what items take

priority. Excellent record keeping and reporting procedures. Ability to multi-task.

  • Proactive: A honed alertness and vigilance to potential breaches in compliance.


Reporting Required & Key Tasks

  • Daily (M-F)

o Brief Summaries on findings/tasks completed at each location. Sent by either text or email.o Coordinate the order of equipment and supplies, when needed.
o Submit Facility Agent Updates through the state portal.

  • Send over access codes, and PDF of employee’s Facility Agent card to the General

Manager of the location, within 24 hours of being received.

  • Daily (during dispensary operation hours)

o Be available for corrections of AZDHS patient verifications. (ex. Incorrect entering of patient’s
medication weight)

  • Weekly

o Send detailed findings of compliance inspections to dispensary location’s internal management
team and senior management. If an item is inventory related, please include the Inventory Control Managers on findings.

o Updates on facility agent card statues. Include which employees are in process, who will
need to be renewed and if any employees were terminated. Must be completed for all locations.

  • Quarterly/Semi-Annually

o Hold training courses for new staff or staff needing a refresher throughout the year.

  • Annually

o Coordinate with Human Resources in holding fire and emergency safety meetings, including
drills of what to do in each situation. (ex. Fire, Health Emergency, Security Breach).
